Google Workspace vs Microsoft 365 for Small Business: Which to Choose?
Google Workspace or Microsoft 365? Compare email, apps, storage, collaboration, security and ease of use to pick the right business suite for your team.

Every growing business eventually needs professional email on its own domain, shared files and video calls. The two serious options are Google Workspace and Microsoft 365. Both are excellent — but they suit different teams.
I set up and migrate both for clients. Here is how I help them decide.
The short answer
- Choose Google Workspace if your team works mostly in the browser, values simplicity and real-time collaboration, and doesn’t depend on desktop Office files.
- Choose Microsoft 365 if your team lives in Word, Excel and Outlook, exchanges Office documents with clients, or needs advanced device management.
What both include
Both suites give you business email on your own domain, calendars, contacts, cloud storage, online document editing, video meetings and admin controls. Both offer several plans, from basic email and storage up to advanced security and compliance features. Prices change regularly, so compare the current plans directly on Google’s and Microsoft’s websites.
Side-by-side comparison
| Google Workspace | Microsoft 365 | |
|---|---|---|
| Gmail interface | Outlook (desktop, web and mobile) | |
| Documents | Docs, Sheets, Slides — browser-first | Word, Excel, PowerPoint — desktop apps on higher plans, plus web versions |
| Collaboration | Excellent real-time co-editing | Strong, especially within Teams and SharePoint |
| Meetings and chat | Google Meet and Chat | Microsoft Teams |
| File storage | Google Drive and shared drives | OneDrive and SharePoint |
| Learning curve | Very easy | Familiar to Office users, more settings to learn |
| Best fit | Small, fast-moving, browser-based teams | Office-heavy teams and companies with Windows devices |
Email and day-to-day use
Gmail’s search and spam filtering are outstanding, and the interface is simple. Outlook offers powerful folder rules, a full desktop app and deep calendar features that many office workers prefer. Your team’s existing habits often decide this point.
Documents and file compatibility
If your clients send complex Excel models, Word documents with tracked changes or PowerPoint templates, Microsoft 365 avoids formatting surprises. Google Docs and Sheets can open and export Office files, but advanced features don’t always convert perfectly.
Collaboration
Google Workspace was built for collaboration from day one: several people can edit the same document at once with no conflicts. Microsoft 365 has caught up with co-authoring, and Teams combines chat, meetings and files in one place — useful for larger teams.
Security and administration
Both platforms offer two-factor authentication, admin consoles, data-loss prevention and device management on higher plans. Microsoft’s tools are particularly strong for companies that manage Windows laptops centrally. Whichever you choose, enforce two-step verification for every user.
Don’t forget email deliverability
Whichever suite you choose, configure SPF, DKIM and DMARC for your domain so your emails reach the inbox. My guide on why business emails go to spam explains the setup step by step.
Migrating from another provider
Both platforms can import existing mailboxes. A careful migration includes:
- Creating user accounts and verifying the domain.
- Copying existing email, contacts and calendars.
- Switching MX records at a quiet time, so no messages are lost.
- Setting up SPF, DKIM and DMARC.
- Configuring devices and showing the team the new tools.
Frequently asked questions
Can I use my own domain with both?
Yes. Both require you to verify that you own the domain and then point its MX records to the new service.
Can I switch later?
Yes, but migrating email, files and user habits takes effort. It’s worth choosing carefully at the start.
Is free Gmail or Outlook.com enough for a business?
Free accounts don’t use your own domain and lack admin controls. An address like you@yourcompany.com looks more professional and keeps company data under company control.
